Tarius News Help Page



The Tarius News service

 

This facility allows the easy storage of the Tarius Newsletters on the TOPRA website so that they can easily be accessed by members (and non-members) using the site. The Tarius Newsletter is a HTML web page that is sent to TOPRA as an email attachment. In a small number of easy steps, TOPRA can upload the HTML attachment to the Plaza site where it becomes part of the website.  One of the important features of this service is that when viewing the newsletters, it replaces the Tarius header/footer with a TOPRA–specific one replacing some of the Tarius subscription information.

 

The service is accessed via the “Regulatory News” item on the “Information Resources” menu ( http://www.topra.org/tariusnews/Main.phx ) and this link will automatically display the most recent dated newsletter. At the top of the page there is a link “Show newsletters” ( http://www.topra.org/tariusnews/Main.phx/newsletters ) which will display a list of all the newsletters held in the system (in dated order). To view one of the newsletters, click on its title.

 

When logged-in members of the Plaza group ‘tariusadmins’ – “Tarius News Administrators” view a page within the service, they will see additional menu items allowing them to manage the service. The most frequently accessed of these will be “Upload newsletter” that will be used to add more Tarius HTML pages in the site.

 




Information for Administrators:

Adding a new Newsletter

 

To access the “Upload newsletter” page, a “Tarius News Administrator” clicks on the “Upload newsletter” link ( http://www.topra.org/tariusnews/Main.phx/newNewsletter ). At the top of the upload page you can see all the newsletters currently in the system (to save you uploading one that's already there). The bottom (important) part of the page contains the form to complete when adding a new Tarius page. The form is fairly self-explanatory and is only 3 boxes.

 

·         The first "Title of newsletter " is where you enter the text to be placed at the top of the page and it's probably best to put the title as given on the email/Tarius HTML page (e.g. "Regulatory & Compliance News - May 12, 2004")

 

·         The "Date" field is used to ensure that the newsletters are displayed in date order (and that the latest one is displayed by default). In this field you should enter the date as given on the emailed page, (e.g. 12/05/2004) - today’s date will be shown as a default.

 

·         The final "Upload" field is used to add the file to the system. Use the 'browse' button and you should be presented with a familiar dialog for finding and selecting the file from your PC. (Note: you should have opened and saved the Tarius HTML page from the Tarius email on your PC so you can select and upload it!).  Clicking 'open' in the dialog places the full name/path of the file you have selected into the upload type-in box.

 

With the correct values in the 3 fields, click on the OK button and the newsletter will be added to the system!

 

Notes:

 

In one or two of the previous newsletters, there is the occasional bad bit of HTML - for example in the May 12, 2004 it appears there is a problem with a spurious character (possibly a new-line) at the end of the "US Warning Letters" section (in this case causing <  /td> to be displayed). There may be some simple checking and tweaking of the Tarius HTML to be done before finally uploading a newsletter.

 

It is important to ensure that the content of the Newsletter (the list of documents/reports) is separated from the Tarius header/footer by a horizontal line. If these lines are not present then the TOPRA header/footer will not be shown properly. The horizontal lines are defined in the HTML using “


”. These tags must be in lower-case.

 

Removing a Newsletter

 

To remove a newsletter from the system, a “Tarius News Administrator” clicks on the “Delete newsletter” link. The delete page is very simple, containing only a selection option and a couple of buttons.

 

·         The selection box allows you to choose the newsletter to be deleted. You should scroll through the list of newsletters (in dated order) and then highlight the newsletter you wish to delete.

 

With the correct newsletter highlighted, click on the delete button to progress to the ‘confirm’ page.

 

In case you have accidentally selected the wrong newsletter, a confirmation page is displayed that shows you the letter you selected and you must click on ‘delete’ on this page to carry out the removal of the newsletter. Pressing ‘cancel’ at any stage returns you to the list of newsletters without deleting anything,

 

Manage storage

 

This Tarius News Service uses the standard Document Folders to store the uploaded newsletters. The next option “Manage storage” (where available) allows an administrator with the correct privileges to use the Document Folder functionality directly to manage the uploaded files (at http://www.topra.org/dman/Folder.phx/Tarius+News?cmd=browse ). This extra level of administration supports renaming/copying/replacing uploaded newsletters, and also moving and deleting multiple newsletters at a time. When using the Document Folder functionality directly, there are a couple of points to remember:

 

1.       The Tarius News service expects to find the newsletters in a single folder (by default this is: [Root] / Tarius News). If documents are removed from here, they will not be shown. If additional non-Tarius news documents are placed in this folder it may detrimentally affect the operation of the service.

 

2.       The newsletters contain specific non-printable HTML characters. For the page to be display correctly, documents must be defined as being of MIME-type “text/html; charset=ISO-8859-1” This can be checked by viewing/modifying the documents properties (using the standard Document Folder “Modify document properties” link.

 

3.       Entering the date of the newsletter into a custom property ensures the correct sorting of the newsletters. To view the custom properties, open the “Document properties” screen by clicking on the card-file icon next to the document (in the Document Folders’ normal folder view) and use the “Custom properties” link. If no custom properties are displayed at the bottom of the screen, click on “Add custom properties”, otherwise use “Modify custom properties” to change the date. You need to ensure that the uploaded document is assigned a global category of ‘newsletter’. Within this category you can supply a value to a property called “Date”. This property should contain the date from the top of the newsletter in the form (dd/mm/yyyy).

 

Change text

 

The “Change text” page, (at http://www.topra.org/Resource.phx/tariusnews/settings.htx, ) is a  version of the standard Formpages, used for displaying/managing the content throughout the website. Accessed by the “Change text” menu option, this allows the wording displayed with the Tarius News Page to be altered. A form is displayed that allows you to enter:

 

Titles (x2). These are used in notification and on newsletters – should a title not be specified during the upload. It is unlikely these titles will be seen/noticed or changed.

 

Introductory Text. If specified, this text is shown below the title but above the content/body of the Tarius news when displaying the newsletter.

 

Footer Text. If specified, this text is show at the bottom of the Tarius Newsletter and replaces the standard footer in the Tarius HTML. As a minimum, this text should include the Tarius Copyright messages. Please see the notes at the end of “Adding a new newsletter”, describing the importance of the “


” tags in the Tarius HTML in enabling the new footer to be displayed properly.

 

After changing/entering text into the boxes on this form, you should use the “Update page” button to submit the changes and mage them permanent. Pressing, “Cancel” will leave this page without saving any changes – you should not navigate way from this form (using links on the page or the browsers’ back-button) without using “Update page” or “Cancel” as this may leave the page locked and make further changes difficult.
